Scribe records your consultation, transcribes it live and generates a structured consultation note for you to review, edit and save straight to the patient record. Annie will also suggest clinical codes based on what was discussed, and you can generate referral documents or patient follow-up messages from the same note.

Getting to Scribe
Select Sessions from the menu on the left-hand side.
If you use Anima Triage and you have linked your appointment slots from EMIS or SystmOne into Anima, you will see your upcoming appointments for the day listed here. Click Start session next to an appointment to begin straight away.
If you have not linked your appointments, you will see your previous consultations instead.
Starting a consultation
You have three options:
New consultation — record a live consultation with a patient
New meeting (from the dropdown) — record meeting notes rather than a patient consultation
Upload audio file — generate a note from a recording you have already made
Step 1: Check your microphone
Select New consultation. Choose your microphone from the options shown and check it is picking up correctly.
Step 2: Start transcribing
Click Start transcribing. A patient consent pop-up will appear. Confirm with your patient that they are happy for the consultation to be recorded, then click Consent given.
Note: consent is logged into EMIS or SystmOne as well as Anima.
Step 3: Stop transcribing
Everything said is transcribed live on screen as you go. When you have finished, click Stop transcribing and your note will be generated. Notes usually stream in within a few seconds.
Reviewing and editing the note
Once the note has generated you have a few ways to change it:
Transcript — switch to the raw transcript to check exactly what was said
Click anywhere in the note and type to edit it directly. Use undo and redo as needed
Dictate — add more to the note by speaking rather than typing
Adjust with Annie — describe the change you want, for example "make more concise", and Annie will rewrite the note. You can always undo the change
Codes, patients and problems
Annie suggests clinical codes based on the content of the note.
To link the note to a patient, you have 2 options:
1 - "Search for a patient" - you can search by NHS number or name in EMIS or SystmOne, or using PDS
2 - "Link current patient" - this will link the note to the patient you currently have open in EMIS or SystmOne
Once linked, you will also see that patient's Anima requests, documents and existing problems alongside the note.
You can add existing problems or search for new ones to add.
Saving the note
Click Save to record to file the note in EMIS or SystmOne. Any codes and problems you have added will be saved alongside it.
If you would rather paste the note somewhere else manually, use Copy notes.
Generating documents and follow-ups
From the same note you can:
Generate a document — for example a referral letter. Select the template you want to use and Anima will populate it from the note
Generate a follow-up message — choose whether it goes by email or mobile, and whether it is sent as a message or a letter
Changing note styles and templates
Your notes are not fixed to one format.
Style — controls how long or condensed the note is
Type of note — controls the structure of the note. Choose one of the built-in templates, or create your own
To create your own, select Create new template. You can pick from the suggested template types or describe the template you want and Anima will generate it.
When you select a template you will see an example of it applied to the consultation in question, and separately the structure of the template itself. From here you can set it as your default template or save it to your template library.
Managing your custom templates
Go to Settings > Organisation settings > Sessions to manage your custom note templates. Any template you have saved will appear here, and you can add new ones directly from this page.
