Discuss with your Practice Manager and team leadership where your practice choose to send Tasks. Your practice may choose to have Document Tasks fully centralised in Anima, or created and managed in other platforms. This page outlines how Practices (including Clinicians and Pharmacists) can navigate Anima to locate, review, and complete Tasks that have been assigned to them.
Step 1: Tasks Tab
To view the task tab from an opened document, go to the 'Tasks' tab. Tasks will have a blue dot where Annie (Anima's AI) has detected a Task.
Important to note: Annie, Anima's AI, suggests both GP Action and Medication Changes as potential tasks to be created and assigned. Important it is the Document Processors responsibility to review and either accept (create) or reject/skip the Task creation. While Annie does a good job at recommending tasks, AI identification is not always accurate. Hence, the need for Document Processing team members to always confirm suggestions or create new Tasks from scratch.
Step 2: Create/Accept Task
From this view, users can either create a Task from scratch (click 'Add new task') or Accept / Reject an Annie Suggested Task.
Step 3: Review/confirm details
The task creator can then fill out or edit the details, and assign the task to the relevant team/individual, alongside a due date.
Once complete, click Create for the Task to be generated.
SystmOne offers an integration with their Task Management space, meaning practices may elect to send their Tasks into their SystmOne Task Dashboard by entering this as an Organisation Setting under Task, or clicking the tickbox for Create Task in EHR. EMIS offers no integration with their Task Management system.
Step 4: Complete Document Review
Created Tasks will show up as white boxes underneath 'To-do' - meaning the Task has been created but yet to be completed.
Nothing further is needed from the Task creator and users can save the document to record (if summarising/coding has been review) while the Task will be sent either to the Anima Task dashboard or into SystmOne.
However, users can click the three dots to edit note or delete the Task.
Additionally, users can also click the Task/white box to view a Task Details view.
