Ingestion: MESH integration setup: SystmOne practices

Step-by-step guide for SystmOne practices to set up MESH integration so documents are routed directly into Anima.

To get the most out of Anima's document processing, many of your documents can be redirected from SystmOne straight into Anima — if the documents are being delivered via MESH.

To do this, you'll need to apply for a new MESH mailbox so Anima can receive documents directly from senders without them going through SystmOne first. This guide walks you through each step, and we'll help you along the way.

Overview

There are three steps to setting up MESH with Anima:

  1. Apply for a new MESH mailbox via NHS England — they'll send you a mailbox ID

  2. Add the MESH credentials to Anima in your organisation settings

  3. Contact your key Trusts to switch the mailbox ID of your practice to the newly created Anima MESH one

Step 1: Apply for a new MESH mailbox

Your practice will likely already have a MESH mailbox linked to SystmOne. To receive documents directly into Anima, you'll need a new one.

Once the form is complete, click Send form to submit it. NHS England will email you your new mailbox ID. They will also send the mailbox ID and password to Anima.

Step 2: Add MESH credentials to Anima

Once you have your MESH mailbox ID and password from NHS England:

  1. Log in to Anima

  2. Go to Settings > Organisation Settings > MESH Ingestion

  3. Turn on the toggle for Enable document ingestion from MESH mailbox

  4. Enter your Mailbox ID from the email NHS England sent you - Anima will input the password

  5. Click Save changes

Step 3: Contact Trusts to redirect documents

The final step is to get your core Trusts to switch the MESH ID they use for your practice to the one we've just set up. This should be a routine change for them — they currently have your delivery set to a generic SystmOne ID.

Send the email below to your key contacts at each Trust. The best person to send it to is someone in the Trust's IT or Integrations team, or anyone who can forward it to the right person.

Sample email to send to Trusts

Subject: MESH mailbox ID update request — [PRACTICE NAME] (ODS: [CODE])

Dear Integration Team,

I am the Practice Manager for [PRACTICE] (ODS Code: [CODE]).

We are currently implementing Anima to manage our document processing workflow. To improve our processing, we would like incoming clinical documents to be routed through our new MESH mailbox. This will also reduce the need for sending additional notifications of documents we receive from senders such as yourself.

We are a SystmOne practice, so our current MESH ID is likely reflective of that. We'd like the Mailbox ID to be changed to our new one, which we've received from the NHS.

The request: Please update your interface engine routing rules for our practice (ODS Code [CODE]) so that the MESH Mailbox ID is:

[MAILBOX ID]

Could you please let us know a potential timeline for making this change, or any follow-up questions you might have? If you're not the correct person for this request, please could you forward this to your Digital or Tech leads so we can get the change made as soon as possible.
