How to Add Notes to Document Assignments

Notes help you provide context or instructions when assigning documents to colleagues. You can add notes when handing over individual documents or edit notes on existing tasks.

Adding a Note When Assigning a Document

When using the Handover feature:

  1. Open the document you want to assign

  2. Click the Handover button at the bottom of the screen

  3. Select the assignee, due date, and priority

  4. In the Comment field (optional), enter your note

  5. Click Confirm

The note will be saved with the assignment and will be visible to the assignee when they view the document.


Editing a Note on an Existing Task

To add or change a note after a document has been assigned:

  1. Open the document

  2. In the To-do section, locate the task

  3. Click the three dots menu () next to the task

  4. Select Edit note

  5. Enter or update the note, then save your changes


Notes and Bulk Assignment

Please note: When using the bulk assign feature, you cannot add notes. Bulk assignment only allows you to set the assignee, due date, and priority. If you need to add notes, you'll need to assign documents individually using the Handover feature.


Where Notes Appear

On the document page: When a task has a note, it appears in a yellow banner at the top of the document

In the task list: Notes are displayed below the task description when viewing your task queue
